Document numbering can be a great way to help distinguish documents created using similar structures. With iAuditor, you can add and customize document numbers to your templates so that each inspection conducted from a template can be uniquely identified.

This article outlines how you can add document numbers to templates and customize their formats on the web app and mobile app. As the “Document number” response type is specific to the Title page of templates, you can also add each inspection’s document number to its inspection title automatically.

IMPORTANT NOTE

The prepopulating of document numbers per inspection is currently device-specific and does not synchronize across platforms.

Add a document number question

You must have “View and Edit” permission at least for the template you wish to add a document number question to. Learn how you can share your templates with your team.

Web app

  1. Log in to the iAuditor web app.
  2. Select “Templates” from the left-hand side menu.
  3. Hover your cursor over the template you wish to add a document number question in.
  4. Click “Edit” on the right-hand side.
  5. Click “Title Page” on the upper-left of the page.
  6. Add a new question or select the question you wish to place the document number on.
  7. Click the downward arrow under the “Type of response” column on the right-hand side.
  8. This shows the list of response types.
  9. Select “Document number” from the list.
  10. The field by default uses the [number] format option, which pre-populates the document number incrementally in 6 digits for each inspection conducted from the template.
    e.g. 000001, 000002, 000003 etc.
  11. You can customize the format to make your document numbering more unique. Learn how to customize the document number format in the section below.

Mobile app: Mobile phones

  1. Log in to iAuditor on your mobile phone.
  2. Tap on “Inspections” at the bottom of your screen.
  3. Select the “Templates” tab at the top of your screen.
  4. Search and select the template you wish to add a document number question in.
  5. Select “Edit template” from the pop-up options.
  6. Tap “Title Page” at the left-hand side of your screen.
  7. Add a new question or select the question you wish to place the document number on.

Format options

IMPORTANT NOTE

The format options must be typed in the lowercase in order to work.

  • [number]: Pre-populates the document number incrementally in 6 digits for each inspection conducted from the same template and device.
  • [first]: Pre-populates the first name of the inspection author in the document numbering.
  • [last]: Pre-populate the last name of the inspection author in the document numbering.

Customize the document number format

You must have “View and Edit” permission at least for the template you wish to customize the document number format in. Learn how you can share your templates with your team.

Web app

  1. Log in to the iAuditor web app.
  2. Select “Templates” from the left-hand side menu.
  3. Hover your cursor over the template you wish to customize the document number question in.

  7. Click the blue text below the question, next to “Format”.
  8. This brings out a sidebar on the right-hand side.
  9. Insert your desired document number format using the options outlined in the Format options section above. For example, “Audit R[number]_[first]-[last]”.
  10. Click “Save and apply” to complete customizing the document number.

Mobile app: Mobile phones
