Information access is an important factor in achieving success for an organization. That’s why we’ve developed a simple experience to provide templates and inspections access to users and groups in your organization. In iAuditor, there are two parts to providing users and groups access. Step one, share or give users or groups access to the template they would need to conduct inspections, then step two, set up which users or groups would automatically see the inspection results conducted by each user or group that have been given access to the template.

This article shows you how to provide users and groups access to templates and inspection results by creating and editing access rules in your organization, as well as the access levels you can set for each access rule. Remember that you can still share inspections individually should you need to.

Before you begin

Please note that the access rules feature is a new web app experience that’s only available to certain organizations. If you’re an administrator, you can sign up your organization for this new experience by contacting our customer support team.

At a minimum, you must have the “conduct, edit” access level over a template to manage its template and inspection access. If you’re an administrator, learn how you can assign yourself the "Data Management" permission to have full access to all templates and inspections in your organization.

Access levels

Template

  • Conduct: users can only use the template to conduct new inspections.
  • Conduct, edit: users can use the template to conduct new inspections and edit its content.
  • Conduct, edit, delete: users can use the template to conduct new inspections, edit its content, as well as archive and delete it.

Inspection

  • View: users can only view the inspection report.
  • View, edit: users can view the inspection report and edit its content.
  • View, edit, delete: users can view the inspection report, edit its content, as well as archive and delete it.

Create an access rule

  1. Log in to the iAuditor web app.
  2. Select Templates from the menu on the left-hand side.
  3. Click the template and select Manage access in the template details panel.
  4. This takes you to the access builder. Click + New access rule on the bottom of the access builder.
  5. In the rule panel, click the dropdown menu under “When inspections are conducted by” to search and select which user(s) and group(s) you want to provide template access to. Then click Done in the dropdown menu.
  6. Click the dropdown menu under “Inspection results will be available to” to search and select which user(s) and group(s) will have access to the inspections conducted by the user(s) and group(s) above. Then click Done in the dropdown menu.
  7. Click Done in the rule panel to add the access rule to the access builder.
  8. For each user or group, you can edit the access level it has over the template, as well as the access level relevant user(s) and group(s) have over the inspections conducted by the user or group.
  9. Click Save and apply.
  10. In the pop-up window, select Apply to future only to apply the new access settings to future inspections or Apply to past and future to apply to existing inspections as well. Learn more about retroactively providing inspection access.

Edit an access rule

  1. Log in to the iAuditor web app.
  2. Select Templates from the menu on the left-hand side.
  3. Click the template and select Manage access in the template details panel.
  4. This takes you to the access builder. Click Edit rules on the bottom of the access builder.
  5. You can edit the following fields for each access rule.
    Template access level: click and update the access level the user or group has over the template.
    Inspection results available to: click + Add / edit access to add or remove the user(s) and group(s) in the rule panel.
    Inspection access level: click and update each user or group's access level over the relevant user or group's inspections.
  6. Click Save and apply.
  7. In the pop-up window, select Apply to future only to apply the updated access settings to future inspections or Apply to past and future to apply to existing inspections as well. Learn more about retroactively providing inspection access.

Delete an access rule

  1. Log in to the iAuditor web app.
  2. Select Templates from the menu on the left-hand side.
  3. Click the template and select Manage access in the template details panel.
  4. This takes you to the access builder. Click Edit rules on the bottom of the access builder.
  5. Click the trashcan icon on the right-hand side of the access rule you want to delete.
  6. Click Save and apply.
  7. In the pop-up window, select Apply to future only to apply the updated access settings to future inspections or Apply to past and future to apply to existing inspections as well. Learn more about retroactively providing inspection access.
