The Collaborative Actions feature allows you to identify, track, and correct issues as a team. You can create actions to highlight an issue that needs to be fixed as you’re walking through an inspection, or create standalone actions on the go, without having to start an inspection. Each action includes a built-in chat and activity feed, where your team members can collaborate. All with built-in timestamps so you can keep track of everyone's interaction with the action from start to finish.

This article shows you how to create both actions in inspections and standalone actions that are not part of inspections, as well as how to update existing actions, on the web app and the mobile app. If you have sensor monitoring set up, check out how you can also create actions from sensor alerts to keep track and resolve sensor-related issues!

Before you begin

Please note that actions created in inspections are only visible to users who have access to the relevant inspections and assignees of actions. Whereas standalone actions are open to everyone in your iAuditor organization.

We recommend familiarizing yourself with the fields that can be configured when creating and updating actions, allowing you to provide as much details as possible for your team:

  • Title (required): The action title. Allows up to 255 characters.
  • Description: The action description. Allows up to 500 characters.
  • Status: The action status. New actions by default start with the “To Do” status.
  • Site: The action site. Keep in mind that if you create an action in an inspection that has the site selected already, the action would be prefilled with that site.
  • Assignee: The action assignee. You can assign actions to anyone in your organization, which the assignees would by default receive email and app push notifications unless configured otherwise. You can also assign actions to people outside your iAuditor organization via email. Please note that assigning actions to yourself does not trigger notifications.
  • Priority: The action priority. New actions by default have the “Low” priority selected, which you can update to set a new priority or have no priority at all.
  • Due: The action due date and time. New actions by default have the due date set to exactly 1 week from when the action is created, which you can update to set a new due date or have no due date at all.
  • Activity: The action activity screen that timestamps every change in the action, including updates to action title, description, status, and details. You can also add comments and photos to collaborate with your team and resolve the action.

Create an action in an inspection

Web app

  1. Log in to the iAuditor web app.
  2. Start a new or edit an existing inspection.
  3. Find the question that requires an action.
  4. For that question, click “Action” below the question response. Depending on the response type, you may need to click the paperclip icon on the upper-right of the question to see the “Action” button.
  5. This creates a text field below the question, for you to type in what needs to be done for the action. You can type in up to 255 characters in the text field that would become the action title.
  6. Click “Create” to create the action.
  7. This brings out a sidebar on the right-hand side, allowing you to provide more details, comment, and attach photos for the action.
  8. Click the “X” on the upper-left of the sidebar when you’re ready to move on and return to the inspection.
  9. Repeat from step 3 for any other actions you wish to create in the inspection.

Mobile app

  1. Log in to iAuditor on your mobile device.
  2. Start a new or edit an existing inspection.
  3. Find the question that requires an action.
  4. For that question, tap “Action” below the question response. Depending on the response type, you may need to tap the paperclip icon on the upper-right of the question to see the “Action” button.
  5. This brings up a pop-up window for you to enter the action details. Tap “Create” at the upper-right of the pop-up window to create the action. You must have an action title at a minimum to do so.
  6. Repeat from step 3 for any other actions you wish to create in the inspection.

Create a standalone action

Web app

  1. Log in to the iAuditor web app.
  2. Select “Actions” from the menu on the left-hand side.
  3. Click "+ Create action" on the upper-right of the actions list.
  4. In the pop-up window, type in the action title and description. Then click “Create” to create the action.
  5. This takes you to the action activity screen, allowing you to provide more details, as well as comment and attach photos for the action.
  6. Click “Back” on the upper-left corner of the page when you’re ready to move on and return to the actions list.
  7. Repeat from step 3 for any other standalone actions you wish to create.

Mobile app

  1. Log in to iAuditor on your mobile device.
  2. Tap on “Actions” at the bottom of your screen.
  3. Select accordingly:
    Android: Tap “+ Create Action” at the bottom of your screen.
    iOS: Tap “+” at the upper-right corner of your screen.
  4. This brings up a pop-up window for you to enter the action details. Tap “Create” at the upper-right of the pop-up window to create the action. You must have an action title at a minimum to do so.
  5. This takes you to the action details screen. You can update the details fields on this screen or select the “Activity” tab at the upper-right of your screen to comment and attach photos.
  6. Tap “Actions” or the icon at the upper-left corner of your screen when you’re ready to move on and return to the actions list.
  7. Repeat from step 3 for any other standalone actions you wish to create.

Update an action

Web app

  1. Log in to the iAuditor web app.
  2. Select “Actions” from the menu on the left-hand side.
  3. Filter and sort the actions list to find and click the action you wish to update.
  4. This takes you to the action activity screen, allowing you to update the details, as well as comment and attach photos for the action.
  5. Click “Back” on the upper-left corner of the page when you’re ready to move on and return to the actions list.
  6. Repeat from step 3 for any other actions you wish to update.

Mobile app

  1. Log in to iAuditor on your mobile device.
  2. Tap on “Actions” at the bottom of your screen.
  3. Filter and sort the actions list to find and tap the action you wish to update.
  4. This takes you to the action details screen. You can update the details fields on this screen or select the “Activity” tab at the upper-right of your screen to comment and attach photos.
  5. Tap “Actions” or the icon at the upper-left corner of your screen when you’re ready to move on and return to the actions list.
