The Collaborative Actions feature allows you to identify, track, and correct issues as a team. Not only can you create and update actions in the same way you use actions on mobile, but you can also gain a vantage point to view and manage actions in bulk when using actions on the web app.

This article outlines the range of functionalities available when interacting with actions on the web app, including how to create, update, and delete actions, as well as how to export actions to CSV (Excel).

Learn via video

Create actions from an inspection

  1. Log in to the iAuditor web app.
  2. Select “Templates” from the left-side.
  3. Hover your cursor over the template you wish to use.
  4. Click the green “Start Inspection” button.
  5. Begin answering your inspection questions accordingly.
  6. Identify the question that requires an action.
  7. For that question, click the “Action” button beneath the question response. Some question types may require you to click the paperclip icon for the “Action” option.
  8. A text box appears for you to type in what needs to be done for the action.
  9. Click “Create” once complete, or click “Cancel” to discard your action.
  10. Once created, a side panel appears from the right-hand side with additional options for the action:
    Title (required): Set a title for the action.
    Description: Option to add a description for the action.
    Status: Option to update the action status.
    Details: Options to choose the site, select the assignee, update the priority, and set the due date for the action.
    IMPORTANT NOTE

    The person assigned will receive email and app push notifications by default, to let them know they have an action to complete. Learn how to configure notifications, and how to assign actions to none iAuditor user.


    Activity: Option to add updates and images for the action.
    Delete: Option to delete the action.
  11. Changes and updates automatically save.
  12. To exit, click outside of the action side panel when you are ready to move on.

Create a standalone action

From time to time, you may need to create actions on the go when you’re not conducting a full inspection. In these scenarios, you can create standalone actions off the bat, outside the context of an inspection.

  1. Log in to the iAuditor web app.
  2. Select “Actions” from the left-hand side pane.
  3. Click the blue "+ Create action" button on the upper-right corner of the page.
  4. A pop-up window appears for you to type in:
    Title of the action (required): Set a title for the action.
    Description (optional): Option to add a description for the action.
  5. Click “Create” once complete, or click “Cancel” to discard your action.
  6. The action view page loads with additional options:
    Title(required): Set or edit the title of the action.
    Description: Option to add a description for the action.
    Status: Option to update the action status.
    Details: Options to choose the site, select the assignee, update the priority, and set the due date for the action.

  7. Changes and updates automatically save.
  8. Click the “Back” button on the upper-left corner of the page when you are ready to move on.

Update actions

As you work through your actions, you may need to update certain details to make sure the team is aware of the latest action status, and any progress that has been to resolve it.

  1. Log in to the iAuditor web app.
  2. Select “Actions” from the left-hand side pane.
  3. The Actions page loads with the list of all actions available to you.
  4. Sort and filter the list to see the actions you need.
  5. Click on the action you wish to update.
  6. The action view page loads, update the fields accordingly:
    Title: The text typed in for what needs to be done becomes the action title.
    Description: Option to add a description for the action.
    Status: Option to update the action status.
    Details: Options to choose the site, select the assignee, update the priority, and set the due date for the action.

  7. See that all updates, except for action deletion, are logged in the activity thread.
  8. Changes and updates automatically save.
  9. Click the “Back” button on the upper-left corner of the page when you are ready to move on.

Delete actions

Made a mistake? Or simply want to clear our old actions? You can delete actions either one at a time or in bulk from the web app.

  1. Log in to the iAuditor web app.
  2. Select “Actions” from the left-hand side pane.
  3. The Actions page loads with the list of all actions available to you.
  4. Sort and filter the list to show only the actions you need to delete.
  5. Check the box for the action(s), or click “Select all” to check all actions on the list.
    IMPORTANT NOTE

    You can only delete up to a maximum of 100 actions at a time. Selecting and deleting more than 100 actions will result in an error with a message of “An error occurred while deleting, please try again.”

  6. Click “Delete” on the lower-right corner of the page.
  7. A pop-up window appears for you to confirm the deletion.
  8. Click “Delete” to confirm the deletion, or click “Cancel” to dismiss the deletion.

Export actions to CSV (Excel) file

At times, the data you create on iAuditor, including actions, may need to be exported for import into another platform, or simply for record-keeping purposes. With actions on the web app, you are able to export all your actions to CSV (Excel) format.

  1. Log in to the iAuditor web app.
  2. Select “Actions” from the left-hand side pane.
  3. The Actions page loads with the list of all actions available to you.
  4. Sort and filter the list to show only the actions you need to export.
  5. Click the 3 vertical dots on the upper-right corner of the actions list.
  6. Select “Download CSV”.
  7. All action results with the current filter get exported to CSV.
  8. Open the CSV file in Excel or the spreadsheet read of your choice.
IMPORTANT NOTE

Actions linked to archived inspections do not include the columns of “Inspection” (inspection title) and “Inspection item” (question label).
