Collaborative actions let you and your team spot issues and correct them as a group. You can create actions outside of an inspection, as you discover observations or, highlight when something needs to be fixed as you’re walking through an inspection. Each action includes a built-in chat and activity feed, where your team members can add photo evidence or write comments. All with a built-in timestamp and date so that you can keep track of everyone’s interaction with the action through to resolution.

IMPORTANT NOTE

The collaborative actions feature also has a fully functional web portal so that you can interact with actions from a browser. This is especially useful for admin looking to manage actions across their account. For more information for how to use actions on the web app, see this guide.

Create a standalone action on mobile, including assigning an assignee, selecting a site, adding evidence, and sorting and filtering existing actions. 

Mobile: Create an action (standalone)

  1. Log in to iAuditor on your phone or tablet.
  2. Go to the “Actions” tab along the bottom
  3. A list of existing actions in your team appears.
  4. Click the “+ Create Action” button along the bottom.
  5. The logging screen presents.
  6. Insert the action title, description (optional), site (if set up by your team), assignee, and priority.
  7. Press “Create Action”
  8. The person assigned will receive a notification from the iAuditor app (if enabled), and an email, letting them know they have an action.
  9. The action will appear in the list for all members of your team.
  10. All team members can view, comment, or add photos, including the assignee, from either the mobile or web app.

    Actions are set up to encourage collaboration, so they show to all of your teammates. To limit the list of actions shown to just your action ONLY, filter the list in the top of the actions menu.

Mobile: Create an action in an inspection

  1. Log in to iAuditor on your phone or tablet.
  2. Select the “Inspections” section of your app to start a new inspection.
  3. Tap on the inspection you wish to begin.
  4. Identify the question that requires an action.
  5. Press the “Action” option under the question
  6. The logging screen presents.
  7. Insert the action title, description (optional), site (if set up by your team), assignee, and priority.
  8. Press “Create Action”
  9. The person assigned will receive a notification from the iAuditor app (if enabled), and an email, letting them know they have an action.
  10. The action will appear in the list for all members of your team.
  11. The action is only viewable for those who have “view” permissions to those particular inspection results. For more details on action permissions, see our FAQ section.

FAQs

I already have actions on my account, what will happen to them? 

Any actions associated with our “legacy” actions feature will transfer seamlessly into the new experience. You do not need to take any steps to ensure everything transfers over. You should be able to view all of your existing actions in the new format with an issue. If you have any questions through the process, please reach out to us.

IMPORTANT NOTE

On the day we migrate customers to the new experience you may notice a brief connection issue of ~60 seconds. This is expected app behavior, to ensure your actions load correctly simply log out of the app and reload the screen. You will not lose any data, and we apologize for any inconvenience. 

I can’t see the same actions as my team, what’s wrong? 

You probably need to update your app. In order to use the new collaborative actions feature, you must be on the last version of iAuditor. To update your app, please go the iOS App Store, or Google Play Store. Updates are all free of charge.

Can I set up permissions for who can see or edit the actions for my team? 

At the moment, actions are set up to encourage collaboration, so they show to all of your teammates. To limit the list of actions shown to just your action ONLY, filter the list in the top of the actions menu.

How do I filter my actions view only to see actions assigned to or by me? 

From your phone or tablet, go to the “Actions” menu. Near the top of the view, you’ll notice a filter button, and the sort button defaulted to “Last updated.” Tap the filter button on the far left to set up your personalized default your settings. If you want to default your view only to show those assigned to you, tap the “Assignee” option check your name in the list of users. You can select multiple if you want to be able to view your entire team’s actions. Your filters will remain on your profile the next time you navigate to the actions menu.

Who can see and edit actions created in an inspection?

You can assign actions to anyone in your org (plus to external assignees). If someone is assigned an action and has view/edit access to the inspection, then they can click through to the inspection from the action. If someone is assigned an action and does not have edit/view actions to the inspection, then they can see the inspection and question from which it came from, but not click through to the inspection.

Who can see actions that are not connected to an inspection (standalone actions)?

Regardless of who it’s assigned to, the entire team will be able to view, edit, and act on standalone actions. This is to encourage collaboration among team members. The future roadmap includes the ability to assign some sharing settings to actions, but for now, if you want to limit the view of actions shown to just your action, filter the list in the top of the actions menu.

What happens to an action once it’s completed?

It stays on your list! We want customers to be able to view and monitor the history of their actions, including those that have been marked as complete. This means that if the action was not completed as expected, it can be easily reactivated and reassigned. If you don’t want to see all the completed actions on your list in mobile, simply adjust your filters to exclude the “complete” status.

Can I create and delete actions in the web app?

Yep! You can create an action in the web app just like you would on your mobile. Just look for the + button in the top right corner. You can also delete up to 100 actions at a time in the web app. 

Can I send actions to people outside of my organization who don’t use iAuditor?

Yes, you can! To assign actions to external assignees, enter their email address in the recipient field. They will receive an email that specifies what the action is, and allows them to mark when it’s done, without having to download iAuditor or create an account. They won’t be able to add comments or evidence unless they join as an iAuditor user.
