The Collaborative Actions feature allows you to identify, track, and correct issues as a team. You can create actions to highlight an issue that needs to be fixed as you’re walking through an inspection, or create standalone actions on the go, without having to start an inspection. Each action includes a built-in chat and activity feed, where your team members can collaborate. All with a built-in timestamp and date so that you can keep track of everyone's interaction with the action through to resolution.

This article outlines how you can create actions from an inspection, and outside of inspections as standalone actions, as well as how to update existing actions, on the mobile app.

The Collaborative Actions feature is also available on web app with additional functionalities. This can be particularly useful for administrators looking to manage actions across their organization, with actions on the web app.

Create actions from an inspection

  1. Log in to iAuditor on your mobile device.
  2. Tap on “Inspection” at the bottom of your screen.
  3. Select the “Templates” tab.
  4. Find and select the template you wish to use.
  5. Tap the blue “Start Inspection”.
  6. Begin answering your inspection questions accordingly.
  7. Identify the question that requires an action.
  8. For that question, tap the “Action” button beneath the question response. Some question types may require you to tap the paperclip icon for the “Action” option.
  9. A window appears for you to configure the details for the action:
    What needs to be done? (required): Set a title for the action.
    Description: Option to add a description for the action.
    Site: Option to choose the site for the action.
    Assignee: Option to select an assignee for the action.
    IMPORTANT NOTE

    The person assigned will receive email and app push notifications by default, to let them know they have an action to complete. Learn how to configure notifications, and how to assign actions to none iAuditor user.


    Priority: Option to update the priority for the action.
    Due date: Option to set the due date and time for the action.
  10. Tap “Create” on the upper-right corner of your screen once complete.
  11. Continue your inspection, and repeat the steps for any new actions you wish to create.

Create a standalone action

From time to time, you may need to create actions on the go when you’re not conducting a full inspection. In these scenarios, you can create standalone actions off the bat, outside the context of an inspection.

  1. Log in to iAuditor on your mobile device.
  2. Tap on “Actions” at the bottom of your screen.
  3. For this screen:
    iOS (Apple) users: Tap the “ + “ icon at the upper-right corner of your screen.
    Android users: Tap the blue “+ Create Action” button at the bottom of your screen.
  4. A window appears for you to configure the details for the action:
    What needs to be done? (required): Set a title for the action.
    Description: Option to add a description for the action.
    Site: Option to choose the site for the action.
    Assignee: Option to select an assignee for the action.

    Priority: Option to update the priority for the action.

  5. Tap “Create” on the upper-right corner of your screen once complete.

Update actions

As you work through your actions, you may need to update certain details to make sure the team is aware of the latest action status, and any progress that has been to resolve it.

  1. Log in to iAuditor on your mobile device.
  2. Tap on “Actions” at the bottom of your screen.
  3. Sort and filter the list to see the actions you need.
  4. Tap on the action you wish to update.
  5. The action details view loads with options to update the following fields:
    What needs to be done? (required): Set a title for the action.
    Description: Option to add a description for the action.
    Site: Option to choose the site for the action.
    Assignee: Option to select an assignee for the action.
    IMPORTANT NOTE

    The person assigned will receive email and app push notifications by default, to let them know they have an action to complete. Learn how to configure notifications, and how to assign actions to none iAuditor user.


    Priority: Option to update the priority for the action.
    Due date: Option to set the due date and time for the action.
    Action created from an inspection (not applicable for standalone actions): Option to go to the inspection edit
    IMPORTANT NOTE

    Edits made by users without edit permission to the inspection will not be saved. Learn how to share your inspections with the right people.

  6. Tap the action “Activity” tab at the upper-right corner of your screen to view all timestamp updates, and to add updates, as well as images to the action.
  7. Tap the leftward arrow the upper-left corner of your screen when you are ready to move on.
